1. Introduction & Our Core Commitment

Welcome to Bates Stamp PDF (accessible at batesstamppdf.com). We respect your privacy and are committed to protecting the confidentiality of your documents, evidentiary records, and personal information.

Unlike traditional online PDF converters and numbering tools that upload your files to remote cloud servers for server-side processing, Bates Stamp PDF operates under a Zero-Trust Client-Side Architecture. We believe that legal documents, court exhibits, discovery productions, and privileged work products should never leave the practitioner's local device without explicit consent.

2. The Zero-Upload Architectural Security Model

When you use Bates Stamp PDF:

  • Client-Side Execution: All document parsing, rendering, Bates number stamping, prefix formatting, confidentiality labeling, and ZIP compression occur exclusively in your web browser utilizing WebAssembly (Wasm) and JavaScript.
  • Zero Document Transmission: At no point during the upload, preview, configuration, or stamping process is any portion of your PDF file transmitted across the internet to our servers or any third-party infrastructure.
  • Browser Sandbox Isolation: The processing happens entirely within your web browser's secure memory space.

3. Information We Do NOT Collect

  • Document Contents: We do not have access to, cannot view, and never store any text, images, or metadata inside your uploaded PDFs.
  • Document Filenames: Your filenames, case names, and docket numbers remain local.
  • Bates Sequence Metadata: Your custom prefixes, Bates numbering sequences, exhibit tags, and production manifests (CSV logs) are computed and downloaded strictly on your device.
  • Confidentiality Labels: Any protective order headers (e.g., "HIGHLY CONFIDENTIAL - ATTORNEYS' EYES ONLY") remain confidential to your browser session.

4. Limited Technical Data We May Process

To provide a fast, secure, and functional web application, we may process minimal, non-sensitive technical data:

  • Browser Local Storage: We use HTML5 Local Storage exclusively to remember your UI display preferences (e.g., your Dark/Light theme selection) across visits. This data never leaves your browser.
  • Standard Web Server Logs: Standard web hosting infrastructure may temporarily log routine technical headers (such as your browser user agent, IP address for DDoS mitigation, and requesting timestamp) necessary to deliver static HTML, CSS, and JavaScript assets. These logs are not combined with any document data.

5. Attorney-Client Privilege & HIPAA / PII Work Product

Legal ethics rules (such as ABA Model Rule 1.6 on Confidentiality of Information) require lawyers and legal professionals to make reasonable efforts to prevent the inadvertent or unauthorized disclosure of, or unauthorized access to, information relating to the representation of a client.

Because Bates Stamp PDF never receives or stores your files, using our tool does not create a third-party cloud data repository. This helps legal practitioners maintain chain of custody and avoid waiving attorney-client privilege or work-product doctrine protections.

6. Cookies & Tracking Technologies

We believe in transparent, clutter-free browsing:

  • We do not use invasive third-party cross-site advertising cookies.
  • We do not profile or sell your personal data to data brokers.
  • We do not track the contents or subject matter of your legal stamping work.

7. Your Rights Under GDPR, CCPA/CPRA & International Privacy Regulations

Depending on your jurisdiction (including the European Union, United Kingdom, California, and other US states), you have legal privacy rights regarding your personal information, including the right to know, access, delete, or restrict processing.

Because we do not collect or store your documents, personal files, or identifying records in any database, we have no personal data to sell, share, or retain. To clear your local UI preferences, you can simply clear your browser cache and local storage at any time.

8. Security Measures

Our web application is delivered exclusively over encrypted HTTPS with TLS 1.3 to ensure that the client-side JavaScript code you download is authentic, unmodified, and securely transmitted from our CDN.
